Will my referee get a reward?

Yes, your referee will automatically receive free Lexop credits when he signs up through your unique referral link and starts using Lexop.

Why didn’t I receive my reward? – I have referred people, but still didn’t get rewarded.

The most common reasons are:

  • Your referee signed up through your unique referral link but did not start using Lexop yet.
  • Your referee did not sign up through your unique referral link, but directly through our sign up page. If this is the case, please let us know so we can update the status of your referral and grant you any rewards earned.
  • Your referee already signed up with Lexop in the past. The referral program only works for new organizations.
  • Your referee is in the same organization as you. The referral program only works for new organizations.

Where are your servers located?

We use Microsoft Azure’s Canadian servers in order to assure that your data is on Canadian soil, including all the backups.

Where are the files stored and who has access to them?

When you attach files to a Lexop Share or Notification activity (from Outlook or your online Dashboard), these files are not actually sent along with the email to your recipients. Your files (along with the message you add) are sent through a secure tunnel (think HTTPS) to our servers (unless you are operating with an on premise installation; then, all data would be stored behind your organization’s firewall).

Once inside Lexop’s system, the files will be stored in a “container”, and only links to these files will be re-packaged in the emails going out to the recipient(s) you identified. These links will lead to a portal that will allow the user to validate the file’s integrity (SHA256 string) and require them to enter a security PIN (if you set one) before accessing the files.

What kind of security does Lexop provide?

All Lexop transmissions and communications go through a secure HTTPS tunnel, AES 256 encryption, and SSL Certificate. All data is encrypted in transit and at rest.

What kind of evidence does Lexop certified email provide?

As soon as you e-serve a document via Certified Email, Lexop instantly generates a Proof Report which contains a detailed audit trail of the transmission. The Proof Report proves delivery by establishing clearly via timestamp and email server confirmation, the exact second your recipient(s) received, opened, and downloaded your email. The Proof Report also contains all the information that is required by civil procedure rules across North America.

What is the document size limit?

Usually, the servers of your recipients block emails over 25MB. But with Lexop, you can send files up to 100MB without worrying about size restrictions. The reason is simple, your recipient will receive links to the documents instead of the documents themselves as attachment.

What is an SMTP response?

SMTP stands for Simple Mail Transfer Protocol. Your message will be relayed from server to server, until it makes it to the last link in the chain: the email server handling your recipient mailbox. This response is essentially an answer signalling what your recipient’ server has done with the email you’ve sent. A few examples of response codes from SendGrid’s website ( :

250 – This SMTP server response simply means everything went well and your message was delivered to the recipient server (this does not mean your message was opened

421 – Your message was temporarily deferred by the recipient server. This is usually a result of too many connections in a short timeframe or too many messages.

450 – Your message was not delivered because the other user mailbox was not available. This can happen if the mailbox is locked or is not routable.

451 – This response is sent when the message simply failed. Often times this is not caused by you, but rather because of a far-end server problem.

452 – This kind of response is sent back when there isn’t enough system storage to send the message. Your message is deferred until storage opens up and it can then be delivered.

550 – The message has failed because the other user’s mailbox is unavailable or because the recipient server rejected your message.

551 – The mailbox your message was intended for does not exist on the recipient server.

552 – The mailbox your message was sent to does not have enough storage to accept your message.

553 – You message was not delivered because the name of the mailbox you sent to does not exist.

What is a Proof Report?

When you send a Certified Email via Lexop, a Proof Report is generated for each recipient. This Proof Report is a dynamic PDF document that contains all the proof of delivery information for each recipient. It contains attachment information (name, pages, SHA256 checksums), sender and recipient details, and SMTP response for the recipient (one report is created for each). The SMTP response is a return message from the email server of a recipient. It signals that the message was received, rejected, blocked, bounced … This same Proof Report is therefore proof that a communication was received (much like what a fax machine would produce). And same as for a fax machine, it does not confirm whether or not the email was opened; only that it made it to the other side. Lexop goes a step further and allows its users to see if their messages were read or not, and if the attached links were clicked.

How do I invite users?

If you are an Admin, you can invite users to your Organization. Simply go to your Settings page, navigate to the “Users” section and select “Invite User”. You will be able to define whether they are simply members (without Administrator privileges) or Admins. They will then receive an email requesting they confirm the request and update their passwords, followed by an on-boarding communication explaining how to get started.

How do I claim my Amazon or Starbucks gift card?

  1. Go to the Overview section of your referral program.
  2. The gift card box a the top right of the page will turn green as soon as you’ve earned a gift card – simply click on it to redeem it:
  3. Under “Redeem your gifts”, select the type of gift card you want (Amazon or Starbucks).
  4. Enter the email address to which you would like your gift card to be sent.
  5. Click on the blue button “REDEEM NOW!” to submit.

Your gift card will be sent to you by email within the next 48 hours.

How can I earn rewards?

There are two simple ways to earn rewards:

  1. When your referee signs up through your unique referral link and starts using Lexop, granting your organization free Lexop credits.
  2. When your referee becomes a paying customer, granting you a gift card (Amazon or Starbucks). 

While you’ll receive a notification every time you earn a reward, you can also follow of the progress of your referrals and view your rewards from your referrals page.

How can I change default communication messages?

Communication messages define the format of all certified emails, sharings, ask for consent, and doc collect activities that go out to recipients.

To change them, you must be an Admin. Go into your Settings page and select the Communications tab. You may then edit the content of the introductory messages recipients see when they receive an email from you. The “Recipient Name” and “Sender name” are placeholders you can add to the message (by clicking on the desired one). The system will replace them with the “real” names when sending out all subsequent messages.

Be sure to hit “Save” when making any change you wish to persist. In order to revert to the default messages, simply remove what was added (leave it blank) and save again.

Does sharing or notifying fill up my recipient’s inbox? What about my Outbox?

Not at all. Lexop allows you to send files to anyone in the world without cluttering their inbox or your outbox. Documents that are sent to recipients via Lexop (with the Outlook addin or via your Dashboard) will not be attached with the email. Only links are added in the outgoing communication.

When using the Outlook addin, files are not kept. When sending a normal email, you will find copies of everything in your SENT folders, which can cause your outbox to quickly fill up. With Lexop however, only the names of the items are kept, because all the files can be found and accessed online from your Dashboard.

Therefore, no inbox or outbox clutter for anyone.

Do my recipients need to have a Lexop account?

No. Lexop transmissions uses standard email service. As long as your recipients have valid email addresses, you can send them anything.

Can I use Lexop to send notices to my tenants no matter which State or Province they are located?

In some jurisdiction, the law doesn’t specifically mention the format under which a notice to a tenant is supposed to be delivered. Obviously it has to be “written”, but sometimes it’s not specified if an email format is accepted. Also, bear in mind that Lexop is not only an email, it’s an email with a complete audit trail and proof of delivery. Therefore, for markets where the validity of email-based notices is not yet confirmed, we have created a feature called “Ask for Consent”. It can be used to collect consent from tenants, prior to sending them official notices through Lexop. That consent confirmation is then added in the Proof Report that Lexop generates instantly for each notice that is sent.
